Operation Manual for Case Management

Begin

Turn on your computer and start the browser

Go to address www.PayCard7.com/casemgt

Select the username from the drop down list

Type in the password: the name initials in lower case, such as "jb"

Front Desk

Click "Begin the Day" – only the Front Desk person will be able to select this

A client brings in the Client Information form to you

Type the information into the screen form

(the client may only tell you the information; type it in)

Select a Case Worker from the drop down list

(only those signed in will show)

Print the screen by clicking "File" and then "Print" at the top left of the screen

Have the client sign the form and take it to the Case Worker

Case Worker

After the password, click Login to begin work

Select a case from the Case Worker drop down list

(only the cases assigned to you are shown – the latest is at the top)

Then click "Open Case File"

Meet the client and fill out the Intake Form screen

Add companions of the client in the list 1 to 11

Print the screen by clicking "File" and then "Print" at the top left of the screen

Click "Save" to save the information

Click "Go to Service Sheet" to continue

Fill out the Service Sheet screen

Add a Counseling Provided entry for the client or any member of the group

By clicking "Add One" in the red color

(select the client or a companion in the drop down list)

Click "Add" to save the entry

All fields must be entered to save the entry

Add another if needed

Click on a service form in the bottom line, if needed

Print the form by clicking "File" and then "Print" at the top left of the screen

Click "Save" to save the data and return to the Service Sheet

Click on "Progress" at the bottom right of the screen to enter a Progress Note

Click "Add" to save it and stay on the screen

Click "Return to Service Sheet" when done

When finished with the case, print the form by clicking "File" and then "Print" at the top left of the

screen

click "Save" to save the information and return to select another case

 

If you get stuck, click the back button to return to an earlier screen. Or, start the browser again.

Unlock a Case for a Case Worker

Click this to let another case worker also access that case

Select the new case worker on the drop down list

 

List Client Visits in Last Year
List the number of services add in the Service Sheet for each client

They are in order of last name

Spreadsheet of All Cases
the sheet is shown as of that moment for all cases

The sheet is also written to a text file that may be downloaded to Excel

Click on download to open the spreadsheet in Excel
